At some point <strong>a portion of the document is fed into the computing system<\/strong>.<\/p>\n<p>So the question isn\u2019t \u201cwill the data end up in the AI?\u201d (it often has to), but rather:<\/p>\n<ul>\n<li><strong>Where<\/strong> are processsed?<\/li>\n<li><strong>Who<\/strong> has access?<\/li>\n<li><strong>Is<\/strong> end up at practice?<\/li>\n<li><strong>How long<\/strong> Where are they stored?<\/li>\n<li><strong>Co<\/strong> What do you do when an error or incident occurs?<\/li>\n<\/ul>\n<hr>\n<h2>The Five Pillars of AI Security in the Workplace<\/h2>\n<h3>Pillar 1: Location and processsing model<\/h3>\n<p><strong>Option A \u2013 a provider\u2019s public cloud (e.g., a consumer chat service)<\/strong><br \/>Minimal oversight. In the free versions, data <strong>may<\/strong> be used to improve services or training\u2014depending on the terms and conditions. Plans <strong>Teams\/Enterprise<\/strong> Providers often disable training, but the data is still stored on their infrastructure\u2014so you need to have it in <strong>DPA<\/strong> and politics.<\/p>\n<p><strong>Option B \u2013 Dedicated instance in the EU (Azure OpenAI, AWS Bedrock, etc.)<\/strong><br \/>A good combination: high-quality large-scale models + location (e.g., Frankfurt, Amsterdam) + GDPR-compliant contracts. You still need <strong>DPA<\/strong> and a clear description of the subprocesssor.<\/p>\n<p><strong>Option C \u2013 on-premises infrastructure<\/strong><br \/>Maximum geographical and network control; higher costs for hardware (GPUs), maintenance, and expertise. <strong>It does not carmatically mean<\/strong> \u201cSafer than a good EU cloud\u201d\u2014you still have to patch, back up, and monitor your own server.<\/p>\n<p><strong>In practice:<\/strong> For many compaNos, it makes sense to <strong>Option B<\/strong> with a specific EU region\u2014unless regulations require an on-premises solution.<\/p>\n<hr>\n<h3>Pillar 2: Who can see which data? The next step is often a controlled environment or a RAG with permissions.<\/p>\n<p><strong>\u201cWe\u2019ll build it locally\u2014it\u2019ll be 100% safe.\u201d<\/strong><br \/>There are also local updates, access, backups, and people. Often <strong>the EU&#x27;s mature cloud<\/strong> With a good contract, it beats a self-hosted server run &quot;on the side.&quot;<\/p>\n<p><strong>\u201cWe will ban AI.\u201d<\/strong><br \/>People will use private tools anyway \u2013 <strong>out of sight<\/strong> for the company. It&#x27;s better to <strong>a conscious policy<\/strong> and a tool that is more conveNont and safer than a workaround.<\/p>\n<hr>\n<h2>Summary<\/h2>\n<p>Safe AI in the workplace mainly involves: <strong>a conscious choice of processsing location<\/strong>, <strong>contracts<\/strong>, <strong>access control<\/strong>, <strong>logs<\/strong>, <strong>MFA<\/strong> \u2013 and a realistic assessment of whether a consumer chat feature is sufficient at all.
