5 Problems with a Patchwork Toolkit (Pipedrive + PandaDoc + Asana)
Problem 1: Integrations break
Specifically, Zapier connects Pipedrive with PandaDoc and Asana via a workflow: “New deal in Pipedrive → Create a document in PandaDoc → Create a task in Asana.” However, when Pipedrive updates its API (which it does 2–3 times a year), the workflow breaks. No one knows for three days because Zapier doesn’t have push notifications (you have to check the dashboard). As a result, 3 days without synchronization = 3 days of data chaos.
Furthermore, the more flows you have, the more potential points of failure there are. A typical company has 5–8 flows in Zapier. Each one can break down independently. That’s why maintaining these integrations comes with a hidden cost of 5,00PLN 0 per year (or the equivalent of an employee’s time).
Problem 2: Three databases, no "single source of truth"
Well, the client “Company XYZ” exists as a deal in Pipedrive, as a recipient in PandaDoc, and as a project in Asana. Three entries, three formats, three statuses. The sales rep changes the status in Pipedrive to “Won.” However, PandaDoc still shows “Pending.” Asana still shows “Backlog.” Who is right?
