Your B2B salesperson is good at sales. But how much time does he actually spend selling?

Salesforce State of Sales 2025 reports: only 35% of a salesperson's time goes to direct work with the customer. The rest is: entering data into CRM, writing offers in Word, looking for answers to e-mails asking about status, generating reports for the manager and organizing the meeting calendar.

This is not a motivation problem. This is a process architecture problem. And it can be solved.

Below are 7 sales processes that are suitable for automation, with specific tools, estimated time gain and advice on when it is worth building something to order instead of buying ready-made ones.

Which sales processes are suitable for automation?

Not every sales stage is worth automating. The rule is simple: automate repetitive, routine activities, leave humans in charge of decisions, relationships and negotiations.

What No automate: the first conversation with a new client, price negotiations for a large account, reacting to a difficult situation (complaint, loss of a contract), building trust in a complex product. What counts here is the person.

What is ideal: anything that is predictable, repeatable and does not require judgment. This is what I describe below.

7 processes to automate this quarter

1. Lead qualification and scoring

The problem: A salesperson spends time talking to leads who will never buy. The „by eye” qualification is subjective and inconsistent between salespeople.

Solution: automatic scoring based on demographic data (company size, industry, position) and behavioral data (opened the offer, visited the price list page, filled out the calculator form). CRM assigns points, the salesperson sees a sorted list of „who is ready now”.

Tools ready: HubSpot (built-in scoring), Pipedrive + Zapier, Salesforce Lead Scoring. When custom: when scoring must take into account data from an external system (e.g. purchase history from ERP, technical data of an IoT device).

Time Gain: 2–4 h/week per salesperson (fewer interviews with unpromising leads).

2. Follow-up sequences

The problem: the salesperson sends the offer and waits. He forgets to write after 3 days. Or he writes, but inconsistently, one client receives 5 messages, another receives none.

Solution: automatic email sequence triggered after sending the offer: D+3 „Did it arrive?”, D+7 „Answer to questions”, D+14 „Last chance before the end of the quarter”. Content personalized with data from CRM (name, company name, product name from the offer).

Tools ready: Woodpecker, Lemlist, HubSpot Sequences, Reply.io. When custom: when the sequence must respond to the recipient's behavior (opened → a different path than not opened) and integrate with your own offer system.

Time Gain: 3–5 h/week (no more manual monitoring of the follow-up calendar).

3. Arranging meetings

The problem: exchange of 4-7 emails to find a date that suits both parties. Every trader knows this pain.

Solution: link to the calendar with available slots. The customer chooses the date himself and receives automatic confirmation and reminder. The salesperson receives a notification and a ready meeting in the calendar.

Tools ready: Calendly, Cal.com (open source), HubSpot Meetings. When custom: when the booking must take into account the availability of many people (e.g. demo with a salesperson + technical expert), integrate with your own CRM or show different types of meetings depending on the stage of the funnel.

Time Gain: 1–2 h/week (elimination of email ping-pong).

4. Generating and sending offers

The problem: a salesperson spends 2-3 hours preparing one offer in Word or Excel. Copies from the previous one, changes customer data, manually calculates prices for discounts, saves as PDF, sends by e-mail. With 10 offers a week, that's 20-30 hours.

Solution: offer configurator or Configure-Price-Quote system. The salesperson selects products/services, the system automatically calculates the price with discounts and business rules, generates a PDF with branding and sends it to the customer. Customer can accept online.

The problem: salespeople do not complete CRM because it is tedious. The manager has no current data. The data that exists is incomplete or outdated.

Solution: auto-enrichment, the system automatically completes contact details based on the email address (company name, industry, size, LinkedIn), imports email history from Gmail/Outlook, recognizes business cards via the mobile application.

How much does B2B sales automation cost?

Depends on the approach. There are three paths:

Start with the process that hurts the most and is most easily measurable. For most B2B companies, these are follow-up sequences (visible increase in responses within 2-3 weeks) or arranging meetings (immediate time savings). One process implemented well is worth more than five implemented superficially.

Doesn't sales automation make the customer feel like a number?

Only when it is poorly implemented. Well-designed automation looks natural to the customer and is often better than manual operation (faster follow-up, consistent communication, no forgotten reminders). The key is to personalize content with data from CRM and maintain human contacts during decision-making moments.

When is a ready-made tool enough and when do I need a custom-made system?
